- Provides comprehensive administrative support to the President and/or other designated leadership personnel.
- Manages the executive's schedule, including organizing appointments, board meetings and other meetings and attending meetings on their behalf to record minutes and notes.
- Screens and redirects phone calls as necessary.
- Prioritizes and manages all incoming and outgoing correspondence, including emails, letters and packages.
- Arranges travel accommodations for executives.
- Maintains the confidentiality of sensitive documents.
- Manages both electronic and paper records, ensuring accessibility and organization.
- Conducts research and prepares presentations or reports as required.
- Undertakes additional tasks as delegated by executives.
- At least of 3 years of experience in an executive secretary or related role is necessary.
- Proficiency in both Chinese and English languages is essential.
- Demonstrated experience as an executive secretary or in a similar administrative position is required.
- Strong verbal and written communication abilities are essential.
- Outstanding organizational skills and attention to detail are necessary.
- Excellent time management skills with a track record of meeting deadlines are required.
- Proficiency in Microsoft Office Suite or similar software is essential, with the ability to quickly learn new or updated software.
